- Plan your club’s meetings, assemblies, and other activities
- Send member communications
- Create subcommittees as needed (for example, club meeting planning, club newsletter and website, social events, attendance)
- Facilitate connections among club members
- Take attendance (assist Club Secretary)
- Maintain the club website and social media sites

Membership Committee Responsibilities:
- Educate club members on how to attract new members and keep them involved
- Conduct classification surveys
- Create subcommittees as needed (for example, for identifying potential new members, member engagement, new member orientation, mentoring)
- Look at your club’s meetings, projects, and other activities and assess what it offers new members
- Develop a membership action plan to improve member satisfaction
- Conduct club assessments to ensure that membership development and retention efforts succeed

- Create awareness of club activities and projects among club members, media, and the community
- Support the work of the membership and other committees
- Create subcommittees as needed (for example, media relations, advertising/marketing, special events)
- Learn key points for talking about Rotary and use them when speaking in public
- Use social media to promote awareness of Rotary and your club in the community
- Make sure your club’s image is in line with Rotary’s public image
- Share your club’s Rotary stories with the local media
- Become familiar with Rotary’s public relations resources
PROJECTS COMMITTEE CHAIR: Alisa Davis
All Club members should participate in the various projects.

- Plan projects, carry them out, and evaluate them
- Identify opportunities for signature projects that will increase your club’s recognition in the community
- Work with other organizations, volunteers, and committee members to maximize the impact of your projects
- Lead efforts to raise money for projects and spearhead the Club's fundraising efforts
- Understand liability issues that affect your club projects and activities
- Work with the public relations committee to promote projects
- Collaborate with other clubs on projects

- Promote Foundation grants and activities and help members participate in them
- Inspire club members to give to The Rotary Foundation
- Create subcommittees as needed (for example, global grants, district grants, annual giving, major gifts, PolioPlus)
- Attend the grant management seminar to qualify your club for Rotary grants
- Oversee the qualification process for Rotary global grants
- Conduct inspirational Foundation-focused club programs at least four times a year
- Work with your treasurer to manage any Rotary grant funds your club receives
- Work with the service projects committee to develop and fund projects

The Chatham Rotary Club Fundraising/Donation Philosophy
Over a decade ago, the Chatham Rotary Club adopted a simple philosophy that we only "spend/donate" money raised from the prior years fundraising, not current year funds. Consequently, the net proceeds from the Annual Auction and other events are moved by the Board into a Restricted Account at year end. These funds are used to support our Club's standing obligations (scholarships, etc), Club funded events (Rotary Festival) and any requests the receive from the public, other non-profit groups. This one-year delay approach (similar to TRF annual fund) means we always know, at the start of the year, what we have available to support the youth, community and international projects.
Restricted versus Reserved Funds
The "Donations Account" is separate from the Operating Account. Within this account we manage Restricted funds that are appropriated by the Board, Reserve funds that are set-aside by the Board for special projects (Disasters, etc) and any District/Global Grant monies awarded to our Club by Rotary.
Donations Committee
The role of this special Chatham Rotary Club committee will be to manage and administer external (and internal) requests for donations, and grants. The committee will be comprised of veteran Club members that will oversee a multi-year donations strategy that reflects the Club memberships desire to support local youth initiatives, as well as, local community and international projects.
REQUESTS
Any financial requests made to the Chatham Rotary Club must be forwarded to the Donations Committee. They will consider if there request are a good fit for our Club, and consistent with our overall giving, projects and donation strategy. Accepted requests must be presented to the Board for an approval vote. Donations should be presented to recipients at a regular meeting and considered a photo-op.
RECURRING DONATIONS
Our Club has a long standing tradition of supporting local youth including both DCC and high school scholarships, community organizations including Boys and Girls Club and more. In addition the Donations committee should oversee the Chatham Rotary Club Fund managed by the Community Foundation. By developing a recurring donations strategy, our Club becomes an integral part of our local community.
GRANTS & RESERVES
Periodically, the Board will designate certain restricted funds to be allocated for future projects and donations. These funds constitute the Club's Reserve Funds. In addition, our Club may apply for various Rotary matching grants and/or collaborative grants. If awarded, these funds will be managed by the Donations committee although the actual projects will be managed by the Projects Committee.
